Establish a baseline at handover

Keep the pump model, setting, controller details and commissioning measurements in one folder. Record normal delivery and the operating pattern that meets demand. Without that baseline, a gradual change can be difficult to distinguish from normal variation. Include the borehole completion and pumping-test records where available.

Monitor practical operating indicators

Record tank filling time, unusual noise, trips, visible leaks and changing water appearance. For metered systems, track volume and energy together where practical. A sustained change deserves investigation. These observations support diagnosis; they do not replace electrical testing, water analysis or source assessment when those are required.

Build a site-specific service plan

Agree maintenance intervals around the manufacturer instructions, water condition, operating hours and importance of the supply. Some components need different checks from the submerged pump. Identify who looks after tank controls, solar modules, protection and pipework. Do not schedule intrusive lifting merely because a generic online timetable says it is due.

Use maintenance to resolve causes

Recurring trips, reduced output or repeated leaks should lead to a documented investigation. Keep service findings and the reason for each replacement. Consider whether demand or source conditions have changed. A maintenance plan is most valuable when it prevents the same issue from returning and gives the operator clear escalation steps.
